Dental: Mailroom Attachment

The Attachment Entry Station (AES) is used to digitize x-rays, charting, and pictures, then to transmit these to NEA via the Internet.

NEA developed the Mailroom Attachment Entry Station (AES) which allows Payors to digitize dental attachments, received in the mail, and to transmit these images to NEA's repository, via NEA FastAttachTM Payor. This allows Payors to achieve the efficiencies and cost reductions of processing attachments electronically. The AES is able to produce 50+ attachment files per hour.

As Providers gain the capability to send attachments electronically (see FastAttachTM for Providers), the need for the Payor to digitize the attachments will diminish.

Seen below is the Attachment Entry Station at NEA.

This is a closer look at the digital camera setup, used to take real-time digital snapshots of x-rays using a lightbox, and utilizing a top-mounted light for paper attachments (perio charts).  Quality images, like the one seen below, are achieved faster than ever before, in less than four seconds.

Full mouth series and perio charts are produced just as quickly with the same high quality.

Perio Chart X-Rays

Research showed the majority of attachments received by Payors in the mail are bitewing x-rays. Therefore, NEA includes the ISC Imagizer TM as an integral part of our AES.

A bitewing x-ray is simply dropped into the slot on top and in less than one second, a high quality image is scanned into the FastAttachTM Payor software.

Two labels print automatically after the file data is input. One, including the provider's name and address, is utilized to immediately mail the attachment back to the provider. The other, including the NEA Attachment Number, may be affixed to the claim form as a link to the attachment file.

Lastly, the AES includes an ergonomically designed workstation. Ergonomics is the science of adapting and coordinating work and the demands of the work environment, to meet the needs of the worker, and to function in harmony with human physiology.

The implementation of ergonomics into NEA's Attachment Entry Station not only provides a comfortable work environment for the enduser, but also increases worker productivity.

These fully integrated ergonomic workstations can increase productivity by 16%-20% and allow for a reduction in employee turnover, worker's compensation costs, and overtime.
