Dental: FastAttach Payors Overview
National Electronic Attachment, Inc. (NEA) the leader in Internet based solutions for the healthcare industry, presents FastAttachTM.
NEA is an electronic attachment clearinghouse, which allows dentists to transmit attachments, via the Internet, for payors to view in support of electronic claims. Attachments include x-rays, charting, intraoral pictures, Op reports, EOBs, etc. FastAttachTM is Internet based using encryption which meets HIPAA and HCFA security requirements.
For payors, our system increases EDI claim volume, eliminates storage costs, significantly reduces mailroom costs, there are no attachments to mail back to providers, and no programming is required. A Windows based system with an Internet browser is all that is required.
Following is a review of the standard FastAttachTM Process. The healthcare office can scan an image / attachment onto their computer or capture an image already on their computer, through FastAttachTM. Once the image is captured in our software, the healthcare office transmits the image to NEA's repository. NEA immediately sends a report back to the healthcare office with an NEA Attachment Number for each file. The healthcare office then sends the claim electronically with the NEA Attachment Number in the NTE section of the claim form. This is automatically done for those users with access to FastAttachTM Link.
Once the payor receives the electronic claim, they will see an attachment has been sent, by the NEA Number in the NTE section of the claim. They can then simply go to our web site and view the attachment for that claim. Also, if outside consultants are utilized, the payor may provide them access to specific attachments on our system for review from their site. NEA also acts as the repository for the attachments. We keep all attachments online for three years, and archive them forever thereafter.
Many payors are in the position of trying to eliminate unnecessary attachments. Our system will actually assist in this effort as well as save money and resource time by not physically handling attachments. FastAttachTM includes a drop down menu of payors to whom providers are able to send attachments. When the provider chooses a payor, a "message box" automatically appears with that payor's specific guidelines for sending attachments. We rely on each payor to provide us with the information to be included in this "message box". And, providers will be reminded each time they begin to send an attachment, exactly which attachments are necessary, per payor guidelines.
The standard cost for a payor to receive electronic attachments via FastAttachTM is a per attachment fee. The payor is billed on a monthly basis for the number of attachments transmitted to NEA from providers for that payor. They are billed 35. each. This is a one time fee regardless of how many times the attachment is accessed.
Payors currently utilizing our system, and those we have spoken to, estimate they save between $2.00 and $5.15 per attachment by not physically handling the attachment and having to return it to the provider.
NEA works closely with our payors to develop a marketing strategy to register their providers. We do direct mailings including a special promotion to the providers who send the most electronic claims. We include new payors in our quarterly newsletter and host payor/NEA provider meetings. In addition, we like to have the payor include us in any provider newsletters, etc.
NEA's main goal is to have as many providers as possible utilize FastAttachTM to transmit dental attachments electronically to payors. While we continue to build the volume of electronic attachments, we recognize the need for payors to have an efficient and economical means to digitize and store attachments, received in the mailroom.
NEA has developed the Attachment Entry Station (AES) for the payor to utilize in their mailroom to digitize x-rays, charting, pictures, etc., and then transmit them to NEA's secure web site. The AES allows payors to achieve high levels of efficiency and cost reductions. These images are also stored on our web site for 3 years and forever thereafter. Our AES is designed for maximum efficiency and is able to produce 50+ files per hour.
The AES includes our FastAttachTM Payor software, a digital camera outfit, Imagizer, computer, monitor and an ergonomically designed workstation. The digital camera captures images (x-rays or paper) in less than 4 seconds. The Imagizer is designed to capture bitewing x-rays in less than 2 seconds. Once the images are captured in our software, the data fields are completed and our program automatically produces 2 labels. One label has the provider's name and address to include on an envelope so the x-ray is returned immediately. The other smaller label has the NEA Attachment Number. This label may be affixed to the claim so the Attachment Number is always available and associated with the appropriate claim.
